Altis Recruitment is grateful to partner with a Broader Public Sector organization to recruit an Executive Assistant This hybrid role, based in West Vancouver office, is scheduled to start as soon as possible and will run through the end of March 2025, with the potential for extension. The Executive Assistant will manage the calendars of three directors and one Executive Director and will assist with a range of clerical tasks. The ideal candidate will excel at multitasking, possess outstanding communication skills, and demonstrate proficiency in office software applications.

Work Schedule:

7.5 hours daily
Monday to Friday
8:30 a.m. – 4:30 p.m.

Key Duties:

  • Manage calendars for three Directors and one Executive Director, including scheduling meetings and prioritizing commitments.
  • Provide support by preparing, editing, and managing documents, correspondence, filing systems, and maintaining inventories.
  • Oversee the scheduling of departmental activities, screen emails, manage priorities, and respond to inquiries.
  • Plan and organize meetings, conferences, and workshops by booking venues, arranging catering, preparing materials, drafting agendas, and recording meeting minutes.
  • Handle confidential information with discretion and ensure sensitive materials are appropriately managed.
  • Use software applications to generate reports, manage databases, and organize contact information. Conduct research and compile necessary data to support departmental initiatives and communication needs.
  • Arrange travel bookings for executives and team members.
  • Manage documentation systems, ensuring files are organized and easily accessible, particularly within platforms like SharePoint.
  • Assist with event support, such as printing materials, and perform other related tasks as needed.

Required Skills & Experience:

  • Excellent communication skills, both written and verbal.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Ability to research, analyze, and summarize information.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Comfortable working independently as well as part of a team.
  • Experience in using data entry systems and automated tools.
  • Familiarity with email and calendar management software (e.g., Outlook).
  • Knowledge of document and file management platforms (e.g., SharePoint).
