Job Summary:
As an Office Administration/Accounting Assistant-Bookkeeping Specialist, you play a crucial role in supporting office, client operations, and management by handling various administrative and clerical tasks. Your responsibilities include ensuring the smooth functioning of office activities, maintaining efficient accounting processes, and assisting with more complex or sensitive work as needed or assigned.
Key Responsibilities:
· Oversee and manage accounts payable and receivable, ensuring timely processing and accuracy.
· Maintain and reconcile multiple QuickBooks files for client-held funds and company financials.
· Handle banking transactions, deposits, and financial record-keeping.
· Assist in preparing financial reports, invoices, and account reconciliations.
· Maintain confidential records, including financial documents and employee files.
· Support property management tasks, including contract management, documentation, and compliance.
· Provide general administrative support, ensuring smooth office operations.
· Address customer inquiries professionally and resolve issues efficiently.
· Assist with special projects and sensitive financial tasks as assigned.
Required Skills & Qualifications:
· 3+ years of accounting or bookkeeping experience (QuickBooks proficiency required).
· Strong attention to detail and ability to work independently.
· Excellent organizational and time management skills with the ability to meet deadlines.
· Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
· Experience handling confidential financial and administrative records.
· Strong verbal and written communication skills.
· Ability to multitask and work efficiently in a fast-paced environment.
Schedule & Work Environment:
· Part-time, 25 hours per week (flexible scheduling available). Monday through Friday
· Office-based position with a professional and collaborative work environment.
· Requires prolonged periods of sitting and working on a computer.
