ESSENTIAL FUNCTIONS:

  1. Serve as a dispatch answering incoming phone calls and directing to appropriate staff - which can be emergencies or non-emergencies.
  2. Manage all office administrative operations, including maintaining organized and accurate office files, preparing correspondence, scheduling meetings, appointments and training, and processing mail.,
  1. Assist the Director and Associate Director with maintaining and updating the department schedule.
  2. Assist the Director and Associate Director with the scheduling and organizing of departmental and institutional training programs, college and community events, along with fleet management/parking.
  3. Assist with mandated Clery and Title IX reporting procedures and compiling data for the Annual Security Report. Additionally assist in gathering, compiling and analyzing student outcomes data relevant to the department.
  4. Support directors and shift leads in communication, physical security and task completion related to end of shift and incident reports both internally and with external departments. Create and manage calendars for officer specific training, licensing and certification/expirations.
  5. Assist the department with retrieving and saving camera footage to provide to outside agencies as needed.
  6. Order office supplies, uniforms and equipment for the department as well as keeping all required vendor licenses and memberships current insuring that requisitions and purchase orders are completed in a timely manner.
  7. Assist with management of the department budget through monitoring of Purchase Orders and Requisitions.
  8. Coordinate and maintain relationships with all Public Safety vendors.
  9. Assist the department with generating photo ID cards for students, faculty and staff.
  10. Key liaison for student engagement initiatives including Fire Safety Day, crime prevention seminars and FBI programs.
  11. Assist with all aspects of customer service across the community.
  12. Any additional duties assigned by the Director or Associate Director.

  6. Proficient in Microsoft 365 and various software programs related to the College and the Public Safety Department for data entry and general use (Jenzabar, Starfish, MS Teams, Spot AI, C-Cure 9000, Power DMS)
  7. This position requires the ability to keep sensitive information confidential adhering to federal regulations including FERPA, VAWA, Title IX and the Clery Act.

EDUCATION:

- High School diploma required.

- Associate degree preferred.

EXPERIENCE:

- Previous office management experience preferred.

- Prior experience working with a diverse student population preferred.

- Experience working in a Public Safety Office preferred.
